Writing an education thesis involves more than presenting a thoughtful argument. You must show where your evidence comes from, distinguish your ideas from those of other researchers, and give readers enough information to locate every source. Understand the author–date system

APA 7 uses an in-text citation to connect a claim with a complete reference entry. A parenthetical citation includes the author’s surname and publication year: (Graham, 2021). A narrative citation places the author in the sentence: Graham (2021) argues that structured feedback supports student engagement.

When a work has two authors, include both surnames every time, joined with an ampersand inside parentheses: (Nguyen & Carter, 2022). For three or more authors, use the first author’s surname followed by “et al.” from the first citation: (Wilson et al., 2023). If an organisation is the author, write its full name the first time and provide an abbreviation if it will be used again.

A source without a date is cited as “n.d.”, meaning no date. A work with no named author is usually cited by title. Avoid relying heavily on anonymous webpages in a thesis; government departments, universities, professional bodies and recognised research organisations are usually stronger sources.

Format books, articles and online material

A book reference generally includes the author, year, italicised title and publisher. APA 7 does not require the publisher’s location, so do not add “Melbourne” or “Sydney” before the publisher. For a journal article, include the article title in sentence case, the journal title and volume in italics, the issue number in brackets, the page range and the DOI when available.

Digital sources need careful checking. A DOI should be presented as an active link beginning with https://doi.org/. For a webpage, include the specific date when it is available. Quotations of fewer than 40 words normally remain within the paragraph and appear inside double quotation marks. A quotation of 40 words or more is formatted as a block quotation, indented from the left margin without quotation marks. Your thesis supervisor or university template may specify additional spacing requirements.

Paraphrasing means expressing a source’s idea in your own structure and language. It still requires a citation. Changing a few words while retaining the original sentence pattern is too close to the source. Read the passage, close it, write the idea from your notes, and then compare your version with the original. Page numbers are not compulsory for paraphrases, but they can help readers locate a particularly important idea.

Manage multiple authors and repeated sources

When several sources support one statement, place them in the same parentheses and arrange them alphabetically by the first author’s surname. Separate sources with semicolons: (Ahmed, 2020; Martin & Lee, 2021; O’Connor et al., 2022). This helps demonstrate that your argument is based on a body of scholarship rather than a single publication.

If two authors have the same surname, include initials in the in-text citation to prevent confusion. When the same author has works from different years, list each year. When the same author has several works from the same year, use letters: (Patel, 2021a, 2021b). The letters must also appear in the reference list and are assigned according to the alphabetical order of the titles.

For Australian policy documents, distinguish between departments with similar names and different publication years. A state department may be the author of a curriculum document, while a federal agency may publish a national report. Treat each organisation as a separate corporate author and check the title page rather than relying on a search-result heading.

Build a reliable reference list

Start your reference list while researching instead of reconstructing it during the final week. Reference managers such as Zotero, EndNote or the tools built into library databases can save time, but imported records often contain errors.
